A massive spreadsheet detailing everyone's lives is great in theory but in practice people's lives are more complicated than that. Also if you ask people to fill in when they will be able to play chances are they will tell you when they want to play as opposed to when they can play which sounds great but in practice leaves you with a prohibitive amount of time to work with.

My previous team had a discord bot that would refresh every week with emoji reactions corresponding to the availability on each day of the week. Worked pretty well until people got lazy.
